  President’s Report  
  Taking on the president’s role for the past year was not something I had anticipated but I am very grateful for the ongoing support and enthusiasm of the executive team. They make the job a joy.

I am encouraged by membership growth, both in numbers and in expertise. Inscribe writers are being read across this country and beyond, to the building of God’s kingdom. Our satellite groups are doing well and last year’s conference was a success once again, as was the revived Spring WorDshop in Calgary. Thanks to Joyce Harback and Susan Plett for their work there.

Thanks also to Elsie Montgomery for her work on the website, Bonnie Way and Janet Sketchley for their work on our excellent newsletter, FellowScript, Gwen Matthieu whose administrative skills keep us organized, Laurie Hanchard who keeps our finances in order, and to all those who do the many small things throughout the year to ensure that Inscribe runs smoothly. You are all invaluable!

We are in the process of partnering with some provincial and national newspapers as well as other organizations, to make Inscribe known and to do what we can for them. We are also working with The Word Guild, based in Ontario, in an effort to find ways to work together to accomplish our mandate to train and equip writers who are Christian. Together we can accomplish that end, to the glory of God.

  Membership Report

Our current membership is 136, down from last year. Every year we lose members but new ones join. This year is no different with new writers joining our group. Members are encouraged to tell others about Inscribe. Cost of membership is comparatively low and benefits are huge. For conferences or other gatherings, Inscribe can supply brochures as well as other information.

  Newsletter Report

FellowScript was published four times last year, three with 32 pages and once with 36 pages. One issue went out a bit late and one issue went out a bit early. The format varies from two columns for feature articles to three columns for regular columns. Last year there was one all-Canadian issue and we plan to do another next year. We have a number of regular feature writers and are booking articles for a year in advance. Janet Sketchley reviews submissions, liaises with writers, and helps with changes to newsletter policies. Bonnie Way does newsletter layout, general editing, and gets the final copy to the printers. Gwen Mathieu prints labels and mails newsletters and Elsie Montgomery manages the mail room and provides advice when needed.

  Website Report

The InScribe website (www.inscribe.org) offers links to markets and their writers guidelines, events for writers, and other information helpful to those who write. Continual changes make the site easier to navigate and more attractive.

As websites need to conform to a new standard, we are trying to make those changes. This is happening because old formats cannot be read on cell phones!

We host 13 web pages for our members now, giving them a personal Internet address and web presence for only $25 a year, including maintenance. While these pages help reduce our Web expenses, we enjoy being able to feature our writers and give them an Internet presence.

I still design all member pages and update the InScribe site. An assistant (or successor) for this effort would be welcome, as are ideas and suggestions to make this a better resource.

  Satellite Groups Report

We currently have seventeen groups functioning across Canada, with two new groups starting up this year. Eight are in AB, two in BC, two in SK, two in Manitoba, one in Nova Scotia, two in Ontario. Others have expressed interest in forming a group and have been sent the start-up packet which is full of suggestions and good information. It will be undergoing revision in the next year so it promises to be even better. If you would like to receive this packet, don’t hesitate to get in touch. We are pleased to see the growth in these satellites.

The essence of the satellite groups lies in growing and supporting one another. Every successful writer can point to a group of people who aided and encouraged him/her along the way. We cannot do the task God has given us alone.

To encourage members of our groups to become individual members, we run a contest each year for members of groups who are not members of ICWF. The first prize is a one year membership in Inscribe. A second prize (a book) is also awarded. Winners are announced in FellowScript. The 2009 contest will be run soon with a Christmas theme.

We continue to offer seed money to the satellite groups if they want to organize a one day event to promote their group and garner new members. Several of the groups have taken advantage of this with great success.

  Publicity Report

The budget set for advertising for Fall Conference and WorDshop was $500 each. These amounts were fully utilized.

Fall Conference. Full color advertisements were placed for Fall Conference 2009 in the September edition of Living Light News in Edmonton and Saskatoon. The cost of these ads was greatly reduced by the publisher, however they still exceeded the $500 budget. The difference between actual cost and budgeted cost was donated by a board member.

A press release about the conference was issued. Maranatha News ran a full color ad for Fall Conference in their September edition in exchange for reciprocal advertising in FellowScript (back page, full color, for four issues).
Additional posters and mail-outs were sent to all members and contacts (non-members) by mail, promoted on the InScribe website and Yahoo Groups Listserv. Individual board members sent posters and literature to various churches and radio stations in their home region.

WorDshop. WorDshop full color advertising (quarter page) was sponsored in part by City Light News (Calgary’s Christian Newspaper) in exchange for a complimentary registration to WorDshop (awarded to an individual chosen by City Light News). In terms of successful promotional methods, advertising WorDshop within the publications and bulletin boards of First Alliance Church brought in the most new attendees, with “word of mouth” a close second.

Internet Presence. Our website is a regular source of writing-related links and reliable information. A new InScribe Group was formed on Facebook. Twitter and personal blogs serve as individual areas for members to promote events and information about InScribe. The Yahoo Listserv provides a community of InScribe members who support and encourage one another.

Recommendations. Future publicity options to consider:
1. Sponsor a Word Guild award
2. Partner/advertise with Canadian Christian post-secondary institutions who offer writing programs for their students
3. Develop the Publicity portfolio to maintain current contact info for sending press releases (eg. radio/TV stations, large churches, writing societies, libraries)
4. Help members understand that word of mouth is the best and most effective method for growing their organization

2009 ANNUAL GENERAL MEETING MINUTES  — InScribe Christian Writers’ Fellowship (ICWF)

In the absence of the Board Secretary, Joyce Harback was appointed to take minutes.

Gwen Mathieu read Micah 6:6-8 and 2 Cor. 4:7-13

  1. Motion to approve agenda made by Elsie Montgomery, second by Bonnie Way. Passed.

  2. Motion to approve the minutes of the 2008 AGM. Moved by Gwen Mathieu, second by Shirley Kolanchey. Passed.

  3. Review of Reports

    a. WorDshop review given by Joyce Harback. 57 attendees enjoyed Lisa Samson, keynote and chose from 7 workshops at a beautiful venue: First Alliance Church in Calgary. Net loss of $127 was underwritten by InScribe. Based on evaluations, the sessions were a great blessing and WorDshop will be run again next year in the spring.

    b. Finance Report – Laurie Hanchard gave a short summary and noted that “Contest” on the printed report should read “WorDshop.” Elsie Montgomery commended Laurie on his ability to manage the finances and provide such a concise summary.

    c. Other reports were available for review in the Annual Report. There were no other questions.
     

  4. Motion to approve reports as amended. Moved by Craig Funston. Second by Michelle Earl. Passed.

  5. Discussion of Associate Executive. Marcia explained the purpose of these positions which are appointed by the Board. Maranatha News publisher/editor Johanne Robertson has joined as an Associate from Ontario.

  6. Nominations from the floor: Gwen Mathieu nominated Joyce Harback as WorDshop Coordinator.

  7. Elections chaired by Craig Funston. The following officers were voted in for 2009-2010:
